Job Description

We’re looking for a Creative Project Manager who brings structure, speed, and clarity to a fast-moving creative studio. You’ll be the operational backbone of the team: managing the project pipeline, allocating resources, and ensuring every deliverable ships on time and on spec.

You own the “when” and the “how much” of creative production. You work hand-in-hand with a Creative Lead (who owns the “what” and “how”) to balance quality ambitions with delivery realities.

You are not a creative director. You are the person who makes the studio run.

1. Studio Pipeline & Capacity Management

  • Own the studio project pipeline: intake, triage, prioritization, scheduling, and delivery tracking across brand design, video, and motion.

  • Manage capacity planning for the creative team, including freelancer activation when internal capacity is stretched.

  • Staff projects based on skill match, availability, and priority — in alignment with the Head of Comms and Creative Lead.

  • Be the single point of entry for all creative requests across the marketing organization.

  • Track progress, unblock issues, and ensure nothing falls through the cracks.

2. Creative Sprint Planning & Delivery

  • Plan and run creative sprints with internal and freelance talent, managing deadlines and priorities.

  • Coordinate quarterly campaign asset production timelines with the Head of Comms and Creative Lead.

  • Manage multi-locale delivery schedules (FR, DE, IT, EN, ES) with an efficient production process.

  • Ensure all deliverables meet the brief requirements before routing to the Creative Lead for quality sign-off.

3. Workflow & Process Optimization

  • Improve and formalize creative workflows: briefing templates, review cycles, feedback loops, versioning, and approval chains.

  • Implement tools and rituals (e.g., sprint board, retrospectives, async reviews) that make the team faster and happier.

  • Build and maintain a clear escalation path for competing priorities — routing trade-offs to the Head of Comms when needed.

  • Organize and maintain the creative asset database for cross-team access and reuse.

4. Stakeholder Management & Communication

  • Be the main operational point of contact between all marketing teams and the studio.

  • Educate internal teams on how to work with the studio: how to submit requests, what to expect, and standard turnaround times.

  • Manage expectations proactively — communicate timelines, flag delays early, and propose alternatives.

  • Help prioritize when everything is urgent, using a clear framework aligned with the Head of Comms.

5. Budget & Vendor Management

  • Manage the studio’s freelancer and agency budget in coordination with the Head of Comms.

  • Source, brief, and manage external creative partners (freelancers, agencies, production companies).

  • Negotiate timelines and costs with external vendors to maximize value.

Preferred Experience

  • 3–5+ years of experience in creative project management, production management, or studio operations (agency or in-house). 

  • Proven track record of managing multiple concurrent creative projects with competing deadlines. 

  • Highly organized, detail-oriented, and adept at multitasking — you bring structure to chaos. 

  • Experience working with creative teams (designers, video producers) and understanding their workflows. 

  • Strong communication skills: you can manage up, down, and across with equal clarity. 

  • Comfortable pushing back on scope creep and holding stakeholders accountable to process. 

  • Proficiency in project management tools (Asana, Notion, or similar) and Google Suite. 

  • Understanding of B2B SaaS marketing context is a plus. 

  • Eager to leverage AI tools to streamline production workflows. 

  • English fluent; French preferred.
